Start with a site register

List every facility address, use, local contact, operating hours and current service arrangement. Add known concerns and contract transition dates. This gives the account discussion a factual starting point.

Do not collapse the portfolio into total square footage alone. A small high-traffic site can have very different needs from a larger quiet office. The cleaning scope should preserve those differences even when the account shares one reporting process.

Use a common format for different scopes

A consistent scope format makes proposals and inspections easier to compare. Use the same fields for areas, tasks, frequency, supplies, exclusions and periodic projects. Fill them in separately for each site.

This helps a regional manager identify a missing item without demanding identical cleaning everywhere. It also makes changes easier to record when a facility expands, closes an area or changes its hours.

Define who can approve a change

Local staff need a route to report concerns, but recurring changes should have an agreed approval path. Otherwise, one site can add work informally while another assumes the original scope still applies. Name the client and provider contacts who manage these decisions.

Urgent issues and permanent changes are different. A one-time request should not become an unclear ongoing duty. Record the revised task and frequency when the agreement changes.

Compare performance with context

Inspection results are most useful when tied to the contracted work. Attendance, access problems and client feedback add context. A regional report should help identify where follow-up is needed and what action was assigned.

Avoid treating one score as the whole account. Repeated concerns at a single facility deserve attention even if other locations perform well. The manager needs enough detail to distinguish execution problems from a scope that no longer matches use.

Plan transitions building by building

A regional change of provider may happen in phases. Each site needs a start date, access handover, supply plan and prepared checklist. The outgoing provider’s final service and any notice obligations affect that sequence.

Initial deep cleaning and periodic projects should also be listed by location. A portfolio-wide promise can hide very different starting conditions. Put the tasks and timing in the plan before the first crew arrives.
