Walk the space before pricing the work
Start with the facility as it operates today. Identify included rooms, operating hours, traffic, restrooms, flooring and areas that are difficult to keep clean. Explain recurring problems with the current arrangement and any planned changes to the building.
The walkthrough should also separate routine work from a starting-condition problem. A buildup that needs an initial deep clean may not be solved by the same time and method as regular maintenance. Your proposal should describe those arrangements clearly.
Agree on what the contract includes
Write down tasks, frequencies, exclusions and supply responsibilities. Identify special requests and periodic work separately. If the proposal includes an initial or annual deep clean, define its scope and timing instead of relying on the phrase deep clean alone.
A clear scope protects both sides from assumptions. It makes proposals easier to compare and gives the future inspection process a standard to use. Where several sites are involved, complete this work for each building.
Prepare access and the working checklist
Coordinate keys, cards, alarms, entry routes, restricted spaces and closing instructions with your site contact. Identify where equipment and supplies will be kept. Confirm who can approve a change and who should receive operational updates.
We use the agreed plan to prepare facility-specific cleaning instructions. The team needs a repeatable process that reflects your priorities. Important access instructions should not depend on one person being available every evening.
Set the start date and review the early work
Coordinate the handover with your existing provider and internal team. Make clear which company is responsible for the final outgoing service and the first incoming service. Check that supplies and access are available before the start.
After service begins, use inspections and feedback to identify anything that needs adjustment. If an area was missed because the instructions were unclear, correct the instructions as well as the cleaning. That helps the next shift start with a better plan.
